Description:

Under general supervision, the Tender Coordinator communicates and coordinates information between the sales manager(s), tender manager, project planner, engineer, material planner, procurement, manufacturing, and fellow members of the Tender team. The Tender Coordinator assists with collection and development of information required for each tender to which he / she is assigned. He / she will perform all essential and secondary functions shown below. The Tender Coordinator reports to the Manager, Tenders.

Essential Functions

Establish and administer Sharepoint site (SPS) for each tender assigned to him / her. (Includes developing master folder and subfolder structure; upload RFP documents; grant appropriate category of access to each tender team member, etc.)
Read and comprehend Request for Proposal (RFP) from Customer and generate summary document defining all requirements in a concise and logical manner. Clarify with Tender Manager any item(s) that are unclear, ambiguous, or unusual (Example: continuous page numbering of all tender pages required for Petrobras America tenders).
Participate actively in kick-off meeting (re SPS, tools, shred, etc.).
Provide input into development of Tender budget and schedule. Plan Tender format (i.e., hard / soft copies), production tasks, resources, and timing.
Alert Tender Manager to potential problems in Tender development / production. Provide mitigating options and costs.
Determine, in collaboration with Tender Manager, physical format for tender, including cover set, tabs, photos, etc. When consensus is achieved, send out for printing, etc. In addition, determine electronic submittal format to provide Customer with an well-planned, navigable electronic tender.
Provide original writing, as requested (Ex: CVs, project descriptions, company history, organization charts, etc.). Perform Internet and other research, as requested or required.
Apprise Tender Manager immediately about missed deadlines, submittal of incomplete information, etc. by tender team members.
Provide specific input to "lessons learned" data base after submittal of each tender.
Participate with Tender Manager on development of response to clarifications, tender submittal, post-submittal clarifications, etc.
Participates in prospect SWOT analysis, subsequently briefs Tender Manager on same.
MTE transition to project team: Develops in collaboration with Tender Manager.

Job requirements Graduate of college / university 4-year diploma program, preferably in Marketing or Journalism and/or training, or equivalent combination of education and experience.
Strong interpersonal and communication skills, both verbal and written.
Minimum of 6 years solid hands-on development of large tenders, preferably to an agency / department at the state or federal government level, or to large private-sector organizations such as multinational energy companies
Able to read and understand Request For Proposal (RFP) documents and requirements.
Assertive, able to plan and manage work in an organized, efficient manner without extensive supervision.
Demonstrates initiative by anticipating potential issues and problems that may arise during tender process, develops a plan to resolve such issues, and keeps tender manager informed about issue mitigation and resolution.
Able and willing to expedite tender team members, offering assistance as appropriate, to encourage meeting of assigned internal deadlines for information submittal to tender team
Must have advanced-level keyboard skills in MS Word and Power Point. Must have intermediate-level or better keyboard skills in MS Excel, Adobe Professional, and Vizio. Must be able to work in Adobe Suite. Must be willing to learn and work in Risk Dashboard, Sharepoint, and other software packages, as required.
Must be able to work effectively under stress and time pressures, including planned and unplanned extended hours, as required.
Demonstrates an understanding of planning and project requirements.
Demonstrates a basic understanding of project management principles.
Able to identify and comprehend key Customer drivers from discussions with Sales Managers and management, and to be able to “on-board” both project and technical issues such that the relevant themes and drivers important to the Customer are clearly “sold” in the final tender. Product knowledge in subsea systems beneficial.
